3-Step Guide for Bupa Patients:

  1. Request Authorisation: Call Bupa and request a Pre-authorisation Code for your specific treatment (e.g., “Osteopathy,” “Chiropractic,” “Physiotherapy,” or “Shockwave“).
  2. Provide our IDs:
    • For Physiotherapy & Shockwave: Give Bupa our Clinic Name: “Bodytonic Clinic”.
    • For Chiropractic & Osteopathy: Bupa requires the specific Practitioner Number. Please View Our Team to find your specific therapist’s Bupa ID (including Dan Tomassi for Chiropractic).
  3. Book Online: Select the “Bupa” category on our booking system. You will receive an email to provide your membership number and auth code.

Important for Bupa Shockwave: Bupa typically authorises Radial Shockwave Therapy (ESWT) only under your Physiotherapy or Osteopathy benefit. If you require Shockwave, please ensure you mention this specifically to your Bupa representative to ensure it is covered under the correct clinical code.

What is Covered:

Important Coverage Note: Currently, we are unable to accept Aviva for Osteopathy, Chiropractic, or Massage treatments. If you wish to use bodytonic clinic as you provider you will need to speak to AVIVA and ask if you can seek treatment outside their provider network. If AVIVA accept you will pay privately and claim back via reimbursement.

Using Cigna for Shockwave Therapy: Cigna typically covers Radial Shockwave Therapy (ESWT) when it is part of a Physiotherapy or Osteopathy treatment plan for chronic conditions. We recommend providing Cigna with the specific procedure code T5780 when requesting authorisation for Shockwave.

3-Step Guide for Cigna Patients:

  1. Request Authorisation: Call Cigna to obtain your Authorisation Number and confirm the number of sessions allowed.
  2. Confirm Your Coverage: Ask Cigna if your policy is “Direct Settlement” or “Pay and Reclaim.”
    1. Note: Most Cigna patients pay in-clinic and receive a detailed receipt to claim back 100% of the cost from Cigna.

Do you have a health cash plan through your employer? You can typically claim some or all of the cost of your treatments at Bodytonic Clinic.

⚠️ Important: Please Check Your Policy First. Bodytonic Clinic does not have access to your private insurance portal or policy details. Coverage varies significantly between individual plans.

To avoid disappointment, you must contact your provider before booking to confirm:

  • That your specific treatment (e.g., Osteopathy or Massage) is covered.
  • That our practitioner’s specific accreditation (GOsC, HCPC, GCC or FHT) meets their requirements.
  • Your annual remaining allowance.

  • Qualified Practitioners: All our Osteopaths, Physiotherapists, and Chiropractors are registered with their respective UK statutory bodies (GOsC, HCPC, GCC). These accreditations are recognised by all major UK cash plans for reimbursement.
  • Detailed Invoices: We provide itemised receipts immediately after payment. Your receipt will include the practitioner’s name, registration number, the date, treatment type, and confirmation of full payment-everything your provider needs to process your claim quickly.
  • Flexible Bookings: No need for GP referrals or complex authorisations. Just book, pay at the session, and upload your receipt to your provider’s app.

Accreditations & Provider Requirements

Most cash plans (like Health Shield, Simplyhealth, and Westfield Health) require your practitioner to be registered with a recognised professional body. While our team is specifically registered with GOsC, HCPC, GCC, and FHT, these are typically accepted as equivalents or higher-tier qualifications for the following commonly requested associations:

  • CNHC (Complementary and Natural Healthcare Council)
  • SMA (Sports Massage Association)
  • ISRM (Institute for Soft Tissue Therapists)
  • SST (Society of Sports Therapists)
  • STA / STO (Sports Therapy Association / Organisation)
  • BASRaT (British Association of Sport Rehabilitators and Trainers)
  • LCSP (London and Country Society of Physiologists)
  • NAMMT (National Association of Massage & Manipulative Therapists)

Note: If your provider specifically asks for a CNHC or SMA number, our practitioners’ FHT, GCC, GOsC or HCPC registration is what we would supply and add to your invoice. Also that ITEC when applicable to the treatment. Please verify this with your insurer before your session.

Important: Patient Responsibility & Insurance Liability

While Bodytonic Clinic is happy to assist with direct billing for the providers listed above, please be aware that the ultimate responsibility for the payment of your treatment rests with you, the patient.

  • Registration Form Requirement: To facilitate direct billing, you must complete our online registration form prior to your appointment. This form includes your essential insurance details and your consent to our terms. Without a completed form, we cannot bill your insurer, and you will be required to pay the full private rate at the time of your session.
  • Authorisation is Your Responsibility: You must ensure that your treatment (Physiotherapy, Chiropractic, Osteopathy, or Radial Shockwave) is authorised by your insurer before your session. If your insurer refuses to pay for any reason-such as an inactive policy, reached session limits, or lack of a GP referral-you will be personally liable for the full cost of the treatment at our standard self-pay rates.
  • Policy Excess & Shortfalls: Many insurance policies include an excess or a “cost-share” element. These amounts are not covered by your insurer and must be settled by you directly at the clinic.
  • Late Cancellations & No-Shows: Most insurance providers do not cover late cancellation fees. If you cancel with less than 24 hours’ notice or fail to attend your appointment, you will be personally liable for the full appointment fee at private clinic rate.
  • Payment Timeline: If your insurance company does not settle an invoice within 30 days of the treatment date, we reserve the right to invoice you directly for the outstanding balance.

By booking an appointment as an insurance patient, you acknowledge that you have read and agreed to these terms and accept full financial responsibility for any fees not settled by your insurance provider.
